Imperial Ballroom Policies & Procedures


In an effort to provide clients with the best customer care and finest dance instruction, we ask that you take a moment to familiarize yourself with the following policies and procedures:

Payment Methods


Registration and payment must be received in advance to guarantee a placement.  Payment options include: Credit Card (Visa, MasterCard), Cheque, or Cash.  Please note that all prices listed are in Canadian Dollars.  Payments can be made online through our management system or in person at Imperial Ballroom.

Membership Policies

Full refund of membership dues: Students must cancel their membership no later than 72 hours after purchase if they wish to receive a full refund of membership dues paid at initiation. 

Transfer of classes: It is understood that when a member signs a membership agreement, the classes are intended for the member's use and member's use only.  Classes may not be shared with or transferred to others.

Refunds for Dance Lessons/ Classes

Please note that there are NO refunds for all dance lesson bookings. Credits are carried forward (up to 12 months) for any missed group classes with the exception of progressive class series. 

Group Class Attendance & Cancellation Policies

All group classes must be paid for in-full and in advance. Payment via our online management system can help guarantee a placement. Students can also pay drop in fees on a per-session basis (although it is cheaper to purchase packages in full).

There may be multiple instructors on the dance floor teaching a lesson at any time.  Group classes and instructors are subject to change at the discretion of management.

Please arrive on time to classes as group classes will start as scheduled without delay for latecomers.

Private Lesson Attendance & Cancellation Policies

Private lessons are booked by appointment only and are 45 mins long, unless otherwise specified.  It is recommended that a private lesson is booked at least one week in advance to secure the desired day, time and chosen instructor. Private lessons can be booked online, by phone/email or in person at Imperial Ballroom. Private lesson availability is subject to instructor's availability. 

For private lessons, a minimum of 24 hours' notice is needed to cancel or re-schedule without charge.  There may be multiple instructors and lessons on the dance floor teaching a lesson at any time.  Private lessons may be rescheduled with advance notice from Imperial Ballroom.

Gift Cards

Gift cards are available for group classes or private lessons.  Recipients must notify and register for a group class or private lesson with Imperial Ballroom. The Recipient must attend a group class program or private lesson within 12 months from the booking date indicated on the certificate, or the certificate will expire and will no longer be redeemable. 

Special Offers and Promotions

Special offers and discounts have no cash value and can not be combined with other offers and promotions. Offers, promotions and coupons can be used for any single purchase on regularly priced items only.

Returned Cheques

Returned cheques are subject to a $20 NSF fee.

Liability Waiver & Photo Release

As with other recreational sports and physical activity there is the potential for injury.  All clients must sign our standard liability waiver and Photo/ Video Consent Release prior to the start of their first group class or private lesson.

By signing the photo and video consent release, you agree to the use of photos/videos of you by Imperial Ballroom. The photos/videos may appear on the Imperial Ballroom website, social media pages, in brochures or in other promotional materials.

Other

- Observers are only permitted at Imperial Ballroom Open House hours and not during any formal group or private lessons (please see our event schedule for upcoming dates and times).
- Video recording is prohibited, unless authorized by Imperial Ballroom management.
- Cell phones must be placed on silent, vibrate or off while classes are in session.
- Please dispose of all trash and materials in the appropriate location.
- Please note that Imperial Ballroom is not responsible for lost or stolen property.
